Privacy Policy

Last updated: October 13, 2026

This Privacy Policy explains how we collect, use and protect personal data when you visit gisowl.com or use the GISOwl web application, mobile apps and API (together, the "Service").

1. Who is responsible

The controller responsible for your personal data is:

Ilya Sidorov, Individual Entrepreneur (IE), 03039268495
303, 4 Ivan Turgenev Street, Tbilisi, 0102, Georgia
Email: hello@gisowl.com
WhatsApp: +81 80 4756 2323

In this policy, "GISOwl", "we", "us" and "our" refer to Ilya Sidorov, Individual Entrepreneur (IE).

We process personal data in accordance with the Law of Georgia on Personal Data Protection and, where it applies to you, the EU General Data Protection Regulation (GDPR) and the UK GDPR.

2. What data we collect

Account data. When you sign up, we collect your name, email address and password (stored only as a secure hash). If you sign in with Google or Microsoft, we receive your name, email address and profile picture from that provider.

Your Content. We store the maps, datasets, files, annotations, comments and other content you upload to or create in the Service. If Your Content contains personal data about other people, we process it on your behalf and only to provide the Service.

Billing data. Payments are processed by our online reseller, which acts as Merchant of Record (see section 5). We receive your name, email address, country, the plan you bought and the transaction status. We do not receive or store your full card details.

Communication data. When you contact us by email, WhatsApp or the demo request form, we keep your messages and the contact details you give us.

Usage and device data. When you use the website or the Service, we automatically collect technical data such as IP address, browser type, device and operating system, pages visited, referring URL, and date and time of access.

3. How we use your data and our legal bases

Purpose Legal basis

Processing payments, invoicing and refunds Performance of contract; legal obligations (tax and accounting)
Responding to support requests and demo requests Performance of contract or our legitimate interest in answering inquiries
Sending essential service messages (security, billing, changes to terms) Performance of contract; legitimate interest
Keeping the Service secure and preventing abuse Legitimate interest
Understanding how the website and Service are used so we can improve them (analytics) Your consent where required by law, otherwise our legitimate interest
Sending product news, if you opt in Your consent, which you can withdraw at any time

We do not sell your personal data and we do not use Your Content to train AI models.

4. Owl AI

When you use Owl AI, the prompts you enter and the map data needed to answer them are sent to our AI model providers for processing. They process this data only to return a response to you, under contracts that prohibit using it to train their models.

5. Payments

Our order process is conducted by our online reseller, which is the Merchant of Record for all our orders. It processes your payment details, billing address and tax information as an independent controller, under its own privacy policy, which is available at checkout.

6. Who we share data with

We share personal data only with service providers that help us run the Service, and only as needed for the purposes above:

  • Our online reseller (Merchant of Record) — payment processing, tax, invoicing and refunds
  • Hosting and infrastructure providers — servers, databases, file storage and backups
  • Email delivery providers — account and service emails
  • AI model providers — processing Owl AI requests
  • Google (Google Analytics) — website usage analytics
  • PostHog — product usage analytics and error reporting
  • Google and Microsoft — sign-in, only if you choose to use them

We may also disclose data if required by law, to protect our rights or the safety of others, or as part of a sale or transfer of the business, in which case this policy will continue to apply to your data.

7. International transfers

Some of our service providers, including Google, PostHog and our online reseller, process data outside Georgia and the European Economic Area, including in the United States. Where required, we rely on appropriate safeguards for these transfers, such as the European Commission's Standard Contractual Clauses.

8. Cookies and analytics

We use cookies and similar technologies to:

  • Keep you signed in and the Service working (strictly necessary cookies)
  • Measure website and product usage with Google Analytics and PostHog (analytics cookies)

You can block or delete cookies in your browser settings. Blocking strictly necessary cookies may stop parts of the Service from working.

9. How long we keep data

We keep account data and Your Content for as long as your account is active. After you delete your account, we delete or anonymize your data within 30 days, except where we need to keep it longer to meet legal obligations. For example, transaction records are kept for as long as tax and accounting laws require. Analytics data is kept in aggregated or pseudonymized form.

10. Security

We protect personal data with appropriate technical and organizational measures. These include encrypting data in transit with TLS, storing passwords only as secure hashes, restricting access to personal data, and keeping regular backups. No method of transmission or storage is completely secure, but we work to protect your data and will notify you and the relevant authorities of a data breach where the law requires.

11. Your rights

Depending on where you live, you have the right to:

  • Access the personal data we hold about you
  • Correct inaccurate or incomplete data
  • Delete your data
  • Restrict or object to certain processing
  • Receive your data in a portable format
  • Withdraw consent at any time, without affecting processing that happened before

To exercise any of these rights, email hello@gisowl.com. We will respond within 30 days. You also have the right to lodge a complaint with a data protection authority. In Georgia, that is the Personal Data Protection Service of Georgia. In the EU or UK, it is the supervisory authority in your country.

12. Data processing agreements

If you are a business that uses the Service to process personal data about others and you need a data processing agreement, contact us at hello@gisowl.com.

13. Children

The Service is not directed at children under 16, and we do not knowingly collect their personal data. If you believe a child has given us personal data, contact us and we will delete it.

14. Changes to this policy

We may update this Privacy Policy from time to time. The current version is always available on this page. If we make material changes, we will notify you by email or in the Service.

15. Contact

For any questions about this policy or your personal data, contact us at hello@gisowl.com or on WhatsApp +81 80 4756 2323.
